How property dealers stop losing leads: a follow-up system that works
Leads are usually lost because nobody owns the next step. Give every lead one owner and one dated next action, get reminded when it is due (and again if it is missed), and record every call so anyone can pick up the history. A real estate CRM like CityNest does this automatically; a diary or Excel sheet cannot remind you.
Where leads actually go missing
Ask any broker where their lost deals went and the answer is rarely "we never got the lead". The enquiry came in. Someone spoke to the buyer once. Then the lead sat in a WhatsApp chat, a notebook or a row in Excel while the buyer called three other dealers. The leak is between the first call and the second.
Three things cause almost all of it:
- No owner. The lead is "with the team", which means with nobody.
- No date. "Call him next week" is not a follow-up. Next week never arrives on its own.
- No history. When the person who spoke to the buyer is busy or leaves, the next person starts from zero and the buyer notices.
The system: one owner, one next action, one date
Every lead in your firm should always answer three questions: who owns it, what is the next action, and when is it due. If any of the three is blank, the lead is at risk.
- Assign an owner the moment the lead arrives. Even if you reassign later, someone must be responsible today.
- End every conversation by setting the next action and a date and time. "Call back Saturday 11 am with 3 BHK options in Sector 84" beats "follow up".
- Get reminded when it is due, and again if it is missed. A reminder that fires once and disappears is easy to ignore on a busy day.
- Record the outcome of every call. Connected, not reachable, call back later, visit booked. Two lines are enough.
- Review overdue follow-ups every morning. Ten minutes with the team, not an hour-long meeting.
What to write after every call
Keep it short enough that your team will actually do it:
- Budget, in lakh or crore, and whether it is flexible
- Location and property type (builder floor, flat, plot, SCO)
- Timeline: ready to buy, exploring, or just comparing prices
- What you promised to send, and the next action with its date
With this, a colleague can call the buyer tomorrow and sound like they were on yesterday's call.
Site visits are follow-ups too
A booked site visit is the most valuable follow-up you have, and the easiest to lose. Book it against both the lead and the property, set a reminder before it, and record what happened afterwards: liked it, wants a lower floor, bringing family on Sunday. The visit outcome tells you what to send next.
Why Excel and diaries fall short
Spreadsheets are good at storing lists. They are not good at telling you, at 4 pm on a Thursday, that a buyer you promised to call at 3 pm is still waiting. They also do not notice a new lead arriving from a Facebook ad at 9 pm. A follow-up system needs something that reminds you, not just something you remember to open.
How CityNest handles follow-ups
In CityNest every follow-up carries a date and a time, and reminders keep escalating until someone acts on them, including when the app is closed. Calls made from the app go onto the lead's timeline with direction, duration and outcome, so the next person who picks up the file can see the history. Site visits are booked against a property and a lead, with a reminder before and a place to record what happened. Owners see performance across the firm, while role-based access keeps each employee focused on their own work.
It runs in any browser and as an Android app, so the reminder reaches whoever is in the field.
Frequently asked questions
How soon should a property dealer follow up a new lead?
As fast as you reasonably can, ideally while the buyer is still looking at listings. A new-lead alert on your phone matters more than a perfect script.
How many follow-ups should I make before giving up on a lead?
Set a rule for your firm and stick to it, for example several attempts over two weeks with a reason each time (new options, price change, site visit slot). Record each attempt so you know when you have reached it.
Can my whole team share follow-ups in CityNest?
Yes. The owner invites partners and employees with an invite code. Leads have owners, follow-ups have dates and times, and call history stays on the lead even when people change.
